Position Overview:

The Director of Oaks Youth Sports Academy Operations (“Director”) will be a member of the Menlo College Athletics staff. The position was developed to pursue the following:

  • Generate auxiliary revenue for the Athletic Department and Athletics staff.
    • Additional compensation for coaches, staff, and students.
    • Revenue to augment Athletics’ operating budget.
  • Provide high-level instruction and development that fills voids in area youth sports programs.
  • Enhance and improve persistence rates in youth sports by providing a positive environment for participants.

The position offers a unique opportunity to lead by setting up and organizing camps, clinics, and lessons for others to manage. The Director also assists directors and counselors associated with the academy, ensuring they have the supplies they need and that the campers’ needs are met. This role is not just about operations; it’s about learning what goes into making a business run and gaining valuable experience in a collegiate setting.

The Director is responsible for developing, organizing, promoting, and implementing high-quality youth programs, including after-school, evening, weekend, and summer programs. Considerations include school-age camps and clinics, skill development, and youth sports such as basketball, futsal, soccer, basketball, volleyball, baseball, and softball.

The Director is also responsible for promoting camps to prospective parents, recruiting, training, supervising, and evaluating camp staff members, scheduling activities, managing the parent drop-off and pick-up system, and the safe operation and instruction of all camp activities according to Menlo College and camp policies. The Director will be expected to conduct regular assessments of the program’s effectiveness. Future scope expansion opportunities include the possibility of offering STEM and other academic programs on Menlo’s campus.

The Director will face various challenges, from problem-solving and mentoring to demonstrating leadership and planning. Commitment and flexibility are crucial, as the role requires direct involvement in the Academy’s day-to-day operations, ensuring the safety and success of our programs.

Responsibilities:

  • Consistently evaluate local markets, price points, engagement, and opportunities for future offerings.
  • Innovate by researching the camp industry for new ideas, programs, and activities to implement, which involves staying up-to-date with industry trends, attending conferences and workshops, and networking with industry professionals to bring innovative ideas and programs to the Academy.
  • Promote retention and continued involvement with the Academy.
  • Look for opportunities during local school break periods (winter and spring) to maximize revenue.
  • Continuously evaluate all programs to ensure quality, which includes regularly reviewing program outcomes, participant feedback, and industry trends to identify areas for improvement and innovation.
  • Develop short and long-term goals for the Academy.
  • Work with the Executive Director of Operations and the Assistant Director of Athletics to schedule facilities in a coordinated manner.
  • Secure facility needs via the Menlo FMX platform.
  • Maintain camp registration pages in ARMS Camps.
  • Identify, engage, and manage staff from the College Department of Athletics and otherwise.
  • Work with the marketing team to create program landing pages and marketing material.
  • Lead all marketing and promotion efforts for the academy.
  • Create clear and concise communication plans for prospective and registered participants, which include developing a communication strategy, creating content for various communication channels, and ensuring timely and accurate communication with prospective and registered participants.
  • Work with the Assistant Director of Athletics for Business and Human Resources to:
    • Develop a risk management plan, which involves identifying potential risks, developing strategies to mitigate these risks, and ensuring all staff have been trained and prepared to handle emergencies.
    • Create and manage the payment portal.
    • Maintain and continuously access waivers.
    • Ensure all athletic program staff are CPR, First-Aid, and AED certified.
  • Work with the Associate Director of Athletics to order, maintain, store, and inventory equipment, which includes identifying equipment needs, sourcing and purchasing equipment, ensuring equipment is stored correctly and maintained, and conducting regular inventory checks.
  • Assure safety equipment is checked regularly.
  • Develop systems that provide for the daily maintenance and upkeep of facilities.
  • Develop emergency action plans for each program and facility.
  • Develop and communicate with parents/guardians about drop-off and pick-up procedures for minors.
  • Respond to all member and parent/guardian inquiries with urgency and strive to build strong relationships through interactions with them.
  • Lead all academy staff meetings to problem solve and encourage staff input and opinions effectively.
  • Ensure all camp staff have the information needed for rosters, attendance sheets, etc.
  • Ensure that all camper lists and information are accurate and up to date at all times.
  • Prepare and manage annual department budgets, which includes working with the Executive Director of Operations and Assistant Director of Athletics to develop a comprehensive budget, monitor and control expenses, and prepare regular financial reports.

  • Bachelor’s degree
  • Sales, marketing, and/or management experience
  • Self-starter who can prioritize and be productive with minimal oversight
  • Extraordinary attention to detail, written and oral communication, and customer service skills
  • Experience successfully leading a team
  • Knowledge and experience in Word, Excel, PowerPoint and POS systems
